AI design for Admin Empowerment
Project Brief.
In this project, I aim to explore how AI, smart features, and integrations can empower community admins to excel in their roles. We have four tasks, and I’ve selected two to focus on below.
Tasks
1
Visibility and Impact:
Increase the visibility of outcomes and achievements, demonstrate success and celebrate community milestones.
2
Learning and Iteration:
Enable admins to learn from previous campaigns and iterate on strategies to improve overall performance.
Stakeholder interview
Our stakeholder interviews uncovered several key insights that will shape my project. I’ll focus on
-
Leveraging familiar design patterns
-
Automating administrative tasks, providing real-time analytics, and enhancing the overall user experience.
-
Collects data on every engagement touchpoint across content, events, groups, and learning playlists to provide valuable insights to the customer organization.
Following the interviews, I refined my problem statement using 'How Might We' questions.
Problem statements
01
How might we use AI to simplify and enhance the content-sharing process to ensure that admins feel it is efficient and intuitive?
02
How might we empower admins to stay productive and engaged by transforming tedious tasks into rewarding experiences during content creation and sharing?
Sketch & Wireframe
Based on the problem statements and insights I've gathered so far, I’ve developed sketches for the Home Dashboard and the Add Content page. These designs aim to enhance usability and streamline the admin experience.
Usability Feedback
I’d like to thank Neutopia for providing the user list to test our prototype. I had the opportunity to interview Sarah and Lisa, and their feedback was incredibly valuable. Here, I’ll outline the key takeaways from these interviews and showcase my final prototype using Figma.
Dashboard Insights
-
User Confusion: Lack of heading for "Suggested Contents" and unclear "Add Content" button (no text).
-
Suggested Content Section: Video thumbnails could be smaller. Top section appears more like tags than dividers.
-
Analytics Highlights: Visitor flow graph needs simplification.
-
User appreciated personalized analytics; suggested a download option for reports.
Create Content Insights
-
Layout Improvement: Excessive spacing noted; a more compact design is recommended (e.g., responsive description box that adjusts height).
-
Thumbnail Section: Non-uniform box sizes; need for automatically generated cover images instead of manual creation. Suggested moving the thumbnail section below the drag-and-drop content area for better organization.
Iterated on the design based on user feedback to enhance the overall admin experience.
Features - Home ( Dashboard)
My goal for the Dashboard is to support admins in content creation by addressing the challenges of maintaining motivation and new ideas. The redesigned Dashboard aims to provide a comprehensive space where admins can:
-
Plan Their Tasks
-
Celebrate Achievements
-
Ask Questions
-
View Suggested Content
-
check the analytics Results
Additional Features:
Bottom Section:
Top Section:
-
Task Management: Admins can set tasks and view important schedules to stay organized.
-
Achievements Highlight: A dedicated section celebrates consistent engagement, showcasing accomplishments.
-
AI Support: Users can ask questions and receive assistance from an AI assistant, enhancing support accessibility.
Middle Section:
-
Content Discovery:
Displays recently posted content and popular items from your community and similar ones. Features AI-suggested content tailored to user interests. -
Personalization: Users can customize tags for better organization and content filtering.
-
Sidebar Menu: Text labels are included in the sidebar menu, eliminating users needing to hover to view options.
-
Create Post Button: An easily accessible "Create Post" button allows users to add content from any page and across all categories effortlessly.
-
Analytics Highlights:
Adjust the time period for displayed data and customize insights to meet specific needs. Flexible settings allow users to modify analytics according to preferences.
Features - Post (Create Contents)
Top Section:
-
Drag and Drop Functionality: Easily drag and drop or paste a webpage URL to import content. The platform automatically generates a cover image, which you can customize by uploading your own or using Canva’s thumbnail creation tools.
Content Import and Refinement:
-
Text Import: The platform imports existing content text automatically. While convenient, the text may occasionally be too lengthy. To streamline and enhance it, an integrated AI feature is available, allowing you to:
Check grammar, Shorten or elaborate text as needed, Alter the tone, Create additional images with AI assistance
Tagging System
-
Sidebar Menu: Text labels are included in the sidebar menu, eliminating users needing to hover to view options.
-
Create Post Button: An easily accessible "Create Post" button allows users to add content from any page and across all categories effortlessly.
Post Assignment
-
Destination Assignment: Easily assign your post to its intended destination or add it to an existing playlist all on a single page.
Saving and Previewing
-
Draft Saving: Once your content is organized, you can save it as a draft or preview it before publishing. This ensures your content looks just right, minimizing the need for post-publication edits.
Preview Features
-
Send email notifications while creating the post.
-
Schedule content for later publication.
-
Utilize analytics insights from the Dashboard to determine the optimal posting time based on community activity.
Reflection
I received feedback on the busy dashboard design. My mentor had already advised that showing one element at a time would be beneficial, so I tested this approach with users. They appreciated the recommended content and analytics integration, noting that the layout didn’t feel overwhelming.

Given the small volume of usability tests, I’d like to conduct further testing and iterate on my design based on the interviews. Research suggests that interviewing 5 to 6 people can yield about 80% accurate insights, so I’m eager to pursue this opportunity. Overall, it has been a valuable experience to work on interactions using Figma.
